Understanding the schedule

The schedule enables you to see all the eForms that make up a study for a particular subject. It is sometimes also referred to as the visit or subject schedule.

The schedule is laid out in a grid, with visits across the top and eForm names down the left side. An eForm icon appearing at an intersection indicates that the corresponding eForm needs to be completed at the time of the corresponding visit.

The schedule is designed to lead you through all the forms and visits in order. Begin at the top left, with the top eForm in the first visit and work down the eForms until you come to the end of the visit. Then move to the top eForm in the second visit column and work down through the eForms and so on.

The current (highlighted) eForm is also indicated by an arrow to the left of the eForm name and the next available eForm is highlighted on opening the schedule. See image This reduces the need to move around the schedule. You can switch this option off in Tools > Options > Schedule. When switched off, the first eForm in the schedule will be highlighted, whatever its status.

Note: Information such as subject/eForm labels, and visit/eForm dates is defined by the study designer and is only created when the user enters data in the specified questions. This means that the schedule for a new subject will never display any of this information.

Icons

Each subject, visit and eForm is indicated by an icon or set of icons representing its status. The icon is made up of the main question status icon with any relevant SDV, DCR, note and comment icons arranged around it. A key to all the symbols used can be viewed at any time by selecting View > Symbols and Function Keys or by clicking the Symbols and Function Keys icon

Subjects

The subject details including study, site and subject label are displayed in the top left cell of the schedule. See image

Visits

Each visit shows the visit name in the top row. You can specify whether or not to display the visit date beneath the visit name in Tools > Options > Schedule

For a repeating visit, the visit cycle is shown in square brackets after the name.

Collapsing and Expanding

The default horizontal view (expanded) allows you to see the visit names more clearly See image but the vertical view (contracted) allows a more concise view of the overall schedule. See image

To contract or expand all visit names, right click in a visit name and select Header Options > Contract/Expand Header.

Displaying a single visit

You can display a single visit whilst hiding all the others. See image

To hide/show other visits, right click in the visit header that you want to focus on and select Header Options > Zoom In/Out.

Hiding inactive visits

An inactive (greyed out) eForm means that the study designer wants you to complete the eForms in a particular order. The inactive eForm will become active when all the relevant eForms have been completed.

You can hide all visits that contain only greyed out (inactive) eForms.

To hide/show inactive visits, right click in the subject cell at the top left of the schedule and select Subject Options > Hide/Show All Inactive Visits.

eForms

Hover the mouse over an eForm icon in the schedule to see the eForm status in a tooltip.

The eForm date is displayed beneath the eForm icon. You can switch this option off in Tools > Options > Schedule. When switched off, the eForm dates are not displayed.

When you open the schedule, it will automatically scroll to and highlight the eForm that was last opened for this subject.

Displaying eForms of a certain status

You can display only those eForms with a particular status whilst hiding all the others. See image

To do this, right click in the subject cell at the top left of the schedule and select Subject Options > Show Only eForms of Status > select status.

To display all eForms again, select Subject Options > Show All Visits/eForms.
